In this role, you will be on a mission to delight our employees, building a function that is sustainable, scalable, automated, and frictionless. You will work to improve day to day operations of our employee services and implement best practice whilst optimising workflows and HR technology to support the broader People team and Redpin organisation.
The People Operations Team is responsible for the entire employee lifecycle here at Redpin, including onboarding, offboarding, compliance, benefits administration, HR Information System (HRIS) as well as key People projects. The Workplace Team oversees reception and office operations, ensuring the office runs smoothly.
This role reports to the Global Head of Operations, Analytics and AI, with a dotted line to the Hyderabad-based People Partner.
What You'll Do
70% People Operations
- As part of a global people operations team, you are responsible for managing the operations of the entire employee lifecycle for employees predominately for employees in India, and to include global workstreams such as support to offers and employment agreements.
- Acting in a customer facing role providing employee support and services on policies and processes as well as helping them get in touch with the right people
- Manage the AskHR@Redpin inbox, prioritising the employee experience and adhering to SLA’s in place – escalating when required.
- Generate employment documentation including offer letters, employment contracts, promotion letters, termination documents, probation letters, and more.
- Work on projects to automate manual processes and increase efficiencies such as standardizing and automating employee documentation including offer letters, employment contracts, promotion letters, termination documents and more on a globally consistent basis.
- Benefits – managing benefits portfolio and providing BAU support but also driving vendor management efforts, renewal processes, and review of benefit offerings to drive engagement and talent acquisition.
- Support with benefits administration and management including providing day to day support to employees on our offerings including new joiner enrolment and offboarding terminations.
- Partner with the payroll team to ensure accurate and timely payroll processing, including employee data updates.
- India Immigration - owning the policies and the relationship between 3rd party immigration vendor and employees to ensure an effective and smooth experience
- Continuous process and policy improvement driven by data, usage results and feedback.
- Close collaboration within the global People Operations Team on company-wide people initiatives such as performance processes, system implementations, compliance projects, or organizational changes.
30% Workplace and Culture Partner
- Manage the Guest relations / Reception area, storeroom and all office supplies, stationery, deliveries and couriers.
- Responsible for attending to clients’ needs when they visit the office, including beverages, parking and building access.
- Attending all general day-to-day office admin, building maintenance requirements and access procedures for new staff.
- Assist with travel and accommodation being mindful of costs.
- Assist with finance related support tasks including but not limited to payment of invoices, monthly banking recons and expense claims
- Liaise with India People Partner, IT department with all office-related requests.
- Manage all office related supplier relationships, printers, coffee machines, water deliveries, food & beverages orders etc.
- Liaise with building management and maintenance teams regarding cleaning, security, visitor access, parking, and general facilities upkeep.
- Assist with planning and coordinating workplace events including the monthly townhall events as well as staff gatherings and celebrations.
- Contribute to maintaining a positive, efficient, and collaborative workplace culture.
What You’ll Need
- At least 3-5 years of experience in a People Operations in a similar role, managing the day-to-day employee lifecycle for India, with other global locations a bonus. Relevant experience includes supporting employees on Tier 1 and Tier 2 HR support, engaging with employees on both inbound and outboard direct employee support, generating employee documentation, supporting onboarding and offboarding administrative tasks, and more
- Successful track record of redesigning and improving processes using workflow mappings and tooling to automate!
- Working knowledge of India employment legislation and HR Compliance requirements. Experience of international employment law in Australia would be desirable
- Must have had full ownership of data processing of all People input such as new joiners, data changes, leavers, and absence management (such as parental, maternity and other leaves) onto relevant People systems, ensuring 100% accuracy for payroll processing.
